Managing bookings
Approve, decline, reschedule and cancel once people start booking — and what the person who booked can do on their own.
Open Bookings from the dashboard to see everything booked with you. Bookings are filtered by state, and the states are worth knowing because they decide whether the slot is held.

A booking only starts as pending if the booking page has requires confirmation turned on. Otherwise it goes straight to confirmed.
Approving and declining
A pending booking has Approve and Decline on it. Approving confirms the slot and, if you’ve set up calendar write-back, pushes the event to your real calendar. Declining frees the slot and lets you give a reason.
Decline rather than ignore. A pending booking keeps holding a slot that nobody is going to use.
Rescheduling
Either side can move a booking, and the two work differently.
You reschedule it. Pick a new slot from the booking. It stays confirmed — no further approval — and the event on your connected calendar is moved in place.
The visitor reschedules it. They pick a new slot themselves, the old one is released, and the booking goes back to pending for you to approve. So a participant moving their session is a request, not a done deal. Watch for it during a collection period.
You can block last-minute changes with the notice settings on the booking page, so that inside a set window the visitor sees your contact details instead of a reschedule form.
Cancelling
Cancel from the booking, with an optional reason. The slot returns to your availability immediately and the event is removed from your connected calendar.
Cancel no-shows too, rather than leaving them sitting on the calendar as though they happened. It frees the time and keeps the record accurate.
What the person who booked can do
They cannot sign in, but their confirmation gives them their own links to cancel or reschedule, subject to the notice limits you set. That is deliberate: someone who can’t make it should be able to release the slot at 8 PM the night before without emailing you.
If they’ve lost the link, handle it from your side and tell them what you did.
When a slot you expected isn’t offered
Use the Troubleshoot view on the booking page. It shows the next seven days and gives a reason for every slot it withheld — a calendar event, an existing booking, a buffer, or the minimum-notice rule. Nearly every “the calendar is broken” report turns out to be an all-day event on a connected calendar, or a buffer doing exactly what it was told to do.
