Signing in, what your role lets you do, and the questions that come up most.

How do I sign in?

Go to inventory.nuilab.org and log in with the account set up for you. Your username and a first password come from Francisco — after you log in, change your password under the top-right menu → Edit Profile. If you can’t get in, ask Francisco to check or reset your account; the address isn’t a self-signup.

What can I do here? (roles)

Access depends on the role on your account:

  • Superuser — full control, including system settings, backups, and integrations. A small number of accounts (Francisco) have this.
  • Admin — manage everything about the equipment and the people using it: add and edit gear, check items in and out, run imports, and see the dashboard. This is the level most lab members work at.
  • Limited roles exist too, for people who only need to view items or borrow and return them.

If a button or page you expect isn’t there, it’s almost always a role thing — ask Francisco to confirm what your account can do.

I don’t see the dashboard / can’t add something

That’s a role difference, not a broken account. The dashboard and the management screens appear for Admin and Superuser accounts; view-only accounts land on a simpler personal page instead. If you should have more access than you do, ask Francisco to adjust your role.

Should I create a new model, or is one there already?

Search first. If a Model, Manufacturer, or Category already exists, use it. Making a second “Quest 3” model splits the same gear across two records and throws off the counts. See Adding equipment for how the model-vs-asset idea works.

What’s the asset tag, and do I type it?

No — the system assigns it. New assets get the next tag automatically (NUI-000007, and so on), so you can leave that field alone.

Where do QR codes and barcodes come from?

Every asset gets both automatically. You print them as labels, and scanning either one pulls the item up. See Labels and scanning .

I still have a question

Ask Francisco. Nothing here is hard to undo, so it’s fine to try things — but when in doubt about equipment that belongs to someone else, or a value you’re not sure about, check first.
